Handle retro terms, back-dated enrollments, and corrected claims without losing history

TL;DR

Data Nexus by Dart Health keeps an auditable history of every feed, including what a record says now and what it said on any date in your lookback window. When an employer back-dates a termination or a carrier corrects a claim, you keep both versions and the date each one arrived. Lookback depends on plan: 6 months on Starter, 6 to 12 months on Pro, and unlimited on Enterprise.

Why history breaks

Most eligibility pipelines treat each file as the new truth and overwrite the last one. That works until an employer terminates a member retroactively or a carrier corrects a claim from two months ago. It also breaks when a client changes how it segments its population.

After that, your team can't say who was covered on the date you billed, or why last quarter's numbers changed.

Reconstructing it later means digging through old files by hand, if they were kept at all.

How it works

  • Data Nexus retains every element it receives, including fields your product doesn't use yet.
  • Each change carries the date it arrived, separate from the effective date in the file.
  • For any member, Data Nexus keeps the current state and the state as it was known on any date in your lookback window.
  • History stays intact when a sender changes its layout or codes. Earlier records keep the values they arrived with.

For example: on March 3, an eligibility file arrives with member 33-118 covered, effective January 1. On March 17, a new file terminates that coverage, back-dated to March 1.

Ask what was known on March 10 and the answer is covered. Ask what's known today and the answer is terminated as of March 1. Data Nexus keeps both answers, each with the date it arrived.

Proof

History and identity resolution share the same record, and identity resolution runs above 99% across about 3 million records a month.

FAQ

Does a back-dated termination overwrite the earlier record?

No. The earlier version stays. We record the termination alongside it, with the date it arrived and its effective date.

Can we reconstruct who was eligible on the date we billed an employer?

Yes, for any date inside your plan's lookback window.

What happens to history when an employer changes how it segments its population?

Records received before the change keep the segment values they arrived with. Records after the change carry the new values and their arrival dates, so you can compare the two periods on the same members.

How far back does history go?

6 months on Starter, 6 to 12 months on Pro, and unlimited on Enterprise. The window is configurable within those ranges.

What this doesn't do

  • It doesn't keep history beyond your plan's lookback window on Starter or Pro.
  • It doesn't pick which version is right in a billing or coverage dispute.
  • It doesn't do employer claims analytics. If you need that, look at a platform such as Springbuk.
